Business management alongside Xero, built in New Zealand

Xero keeps your books. Business Manager runs your business.

Agreements, billing, supplier costs, commissions, cashflow, tax, strategy and risk. Business Manager holds everything Xero can’t, works it into a guided month-end, and shows you what each customer actually makes you while there’s still time to act.

Early access for New Zealand small and medium businesses. We drink our own champagne: Fill The Gap runs its business on it every day.

Where does month‑end actually happen in your business today?

Xero records the invoices and bills. Everything around them lives in spreadsheets, inboxes and someone’s memory: which contract a cost belongs to, whether it was passed on, who earns commission, and what’s really left after tax.

With Business Manager

One place.

Every agreement, every supplier cost, every invoice line and every commission, tied together, so the numbers you need are worked out from what really happened, not rebuilt by hand each month.

  • Nothing re-keyed between suppliers, invoices and Xero
  • Margin for every agreement, every month
  • One checklist that says what’s left to do
Do the sum yourself

We won’t tell you what you’ll save. Count what month‑end costs you now.

Every invoice pieced together by hand, every supplier line checked against a customer, every commission worked out in a spreadsheet takes time. Put in your own numbers.

Checking usage, adding on-charges and hours, fixing repeating invoices
Commissions, matching supplier bills, cashflow and tax spreadsheets
Hours a year 264

That is 6.6 working weeks a year spent rebuilding numbers your systems already hold.

Your inputs, your answer. Weeks assume 40 hours.
What it does

Much more than month‑end.

These are not plans on a roadmap. Each one below runs Fill The Gap today.

  1. The Close

Month-end as a run sheet: each step, what’s done, and how many items are left. It opens on the month you’re closing.

  2. Agreements

Every customer agreement, recurring or project, with its value, what’s been invoiced and its margin each month. Upload a signed agreement and it drafts the record for you.

  3. Billing

One reviewed draft per customer invoice, combining subscriptions, on-charges and hours, sent to Xero as a draft. No repeating invoice goes out unchecked.

  4. Reseller billing

A supplier’s usage report becomes each customer’s invoice lines at your prices, by rules you set once. Ours went from hours to seconds.

  5. Supplier costs

Each cost-of-sale bill line is allocated to the agreement it belongs to, then passed on or absorbed. Costs you haven’t recovered show up before the month closes.

  6. Commissions

Worked out from invoice lines, by person and product line. Approve them and purchase orders are raised in Xero, then matched to the bills that come in.

  7. Performance

Revenue and gross margin by month, where the money comes from, and how much of it recurs.

  8. Cashflow

Thirteen weeks ahead, then out to a year, starting from what’s actually in the bank.

  9. Tax to set aside

GST on a payments basis, PAYE and income tax, earmarked as money arrives, so the bill is never a surprise.

  10. Runway

What your recurring income alone pays for, if every project stopped tomorrow.

  11. Strategy and plan

This year’s strategy, priorities and business plan, next to the numbers they depend on.

  12. Risk, cover and value

A risk register, the insurance you hold against what your contracts require, and what the business is worth, by several methods.

With Xero

Alongside Xero, never instead of it.

Your accountant keeps working in Xero exactly as now. Business Manager connects to it and adds what it can’t hold.

01

Xero stays your accounting system.

Nothing is posted that Xero doesn’t know about. Invoices, bills, payments and bank balances come from Xero, so the numbers always agree.

02

Changes go back as drafts.

Invoices and purchase orders reach Xero as drafts, for a person to check and approve, the way you already work.

03

It adds what Xero can’t hold.

Which agreement each invoice line and supplier cost belongs to, the margin on it, who earns commission on it, and whether this month’s billing is done.

We drink our own champagne

Fill The Gap runs on Business Manager. Every invoice, every month.

We built it because we needed it. We resell software, deliver projects, pass supplier costs on to customers and pay commissions, and Xero alone couldn’t tell us what we made on any of it.

Hours → seconds for our monthly reseller invoicing, from the supplier’s usage report to each customer’s invoice lines Fill The Gap, 2026
18 months of our own invoices, bills, agreements and commissions run through it As at 31 October 2026
Every page open read-only to a board member or adviser, so the board sees the same numbers we do Owner and viewer roles, in production since November 2026

Built by the people who use it. Every feature started as a problem in our own month-end. If it didn’t save us time or show us something we couldn’t see, it didn’t stay.

It improves every week, not every year. Fixes and features ship as they’re ready, and every release goes through a security review before it reaches production.

Who it’s for

Built for New Zealand small and medium businesses on Xero.

It fits best if you earn money more than one way, and month-end lives in spreadsheets.

Early access. We’re opening Business Manager to other businesses in stages. Some parts are still shaped around how Fill The Gap works, and early-access customers help decide what becomes configurable first.

ResellersProducts bought from suppliers and passed on to customers at your prices
IT and managed servicesSubscriptions, support agreements and usage billing
Consultancies and agenciesStatements of work, hours against a budget, and change requests
Businesses that pay commissionSales commission and management fees, worked out from what was invoiced
OwnersMargin, cashflow, tax and runway in one place, without a spreadsheet
Boards and advisersRead-only access to every page, with nothing they can change
Security

Your numbers deserve the same care as your bank account.

Business Manager is built and released the way we build systems for our clients, with a security review in every release.

Passkeys and a second factor

Everyone signs in with a passkey, or a password plus a code from an authenticator app.

Permissions checked on the server

Every page, action and download checks what you’re allowed to do. Hiding a button is a convenience, not the control.

A read-only role

Give a board member or adviser every page, with nothing they can change.

Drafts, not surprises

What it sends to Xero arrives as a draft for a person to approve.

Hosted in Sydney

The database and documents are in Amazon Web Services’ Sydney region, in an AWS account used for nothing else.

Security in the release process

Every change is reviewed against a security checklist as part of releasing it, not once a year.

Where your data lives. Business data is stored and processed in Amazon Web Services’ Sydney region, and your accounts stay in your own Xero. When you upload an agreement or a supplier invoice for Business Manager to read, the document is sent to Anthropic’s AI service, which processes it outside Australia and New Zealand.

Next step

Tell us how your month closes today.

Thirty minutes, free, with no pitch. Walk us through how a month closes in your business, and where the spreadsheets are. You will leave with a straight answer on whether Business Manager fits, and when it could.
